How it Works - Rental Policies & Procedures

Guest Agreement

In order to confirm your rental, we require that you read and complete our Guest Agreement. This Agreement includes your payment information.

A copy of our Guest Agreement is available in Adobe Acrobat (.PDF) format. If you do not have Adobe Acrobat Reader installed on your computer, you can download a copy free of charge from the Adobe web site.

Please print the Guest Agreement, fill it out completely, and then fax it to us at +1 250-642-4836.

Policies & Procedures

Island Vacation homes Ltd. acts as an agent on a contract basis for private home-owners who wish to rent their homes on a nightly, weekly or monthly basis. We are a registered vacation home agency.

As a potential guest who may wish to rent a vacation home, Island Vacation Homes Ltd. assists you by doing the following:

  • Describing all of our properties on our web site
  • Working with you by phone or e-mail to choose the vacation home that best suits your needs
  • Confirming your choice by e-mailing you a confirmation document
  • Taking a deposit of 50% of the amount owing using Visa or MasterCard
  • Taking the balance of the amount owing 45 days before you arrive
  • Providing you with written directions to our office
  • Registering you at the office and providing you with written instructions and keys for your vacation home
  • Serving as your host while you are in our community

Cancellation Policy

Our cancellation policy is as follows:

  • A 50% deposit of the total amount owed is due at the time of booking
  • The balance is owed 45 days before you arrive
  • If you cancel before the 45 days deadline, your deposit will be returned to you, minus a Cancellation Fee. The Cancellation Fee is equal to Island Vacation Homes' non-refundable costs as charged by the credit card company (approximately 7% of the total deposit). The minimum Cancellation Fee is CDN $50.00
  • If you cancel after the 45 days deadline, you will lose both the deposit and the balance unless we are able to rent out the vacation home to someone else
  • There are no refunds if you leave early

All of our guests are required to sign a Guest Agreement. You may download the Agreement, complete it and fax it back to us or you may choose to fill out the Guest Agreement when you arrive at the office. Most guests choose to do the Agreement ahead of time.

Island Vacation Homes Ltd. requires a minimum damage deposit of $500.00 CAD on any of its homes. We begin a pre-authorized payment for the deposit but when you leave and there is no damage, we do not process the transaction.

Event Pricing

Pricing for special events works the same way as it does for normal vacation home rentals, but with the following additional considerations:

  • If your event involves only the rental of a vacation home, and there will be no visitors who do not have a bed in the home, there is no extra charge.
  • If your event involves the rental of more than one of our vacation homes, and the guests who have a bed at one of our vacation homes will congregate at another one of the homes, the cleaning fee for the home where the event occurs will be doubled.
  • If your event involves extra guests who are not staying at any of our vacation homes, the cleaning fee is doubled at the home where the event occurs and the damage deposit is increased to $1000.00.
  • Under certain circumstances, there may be an event fee that may range from $500.00 to $1500.00 CAD, which is in addition to the applicable daily or weekly rental rates for the vacation home(s). We may invoke this event fee when a vacation home is rented for less than a week, or when servicing the event (for set-up and take-down) means that we cannot rent the home to anyone else on days immediately prior to, or following an event, or when the event involves our staff in extra work such as supervising the set-up and take-down, or when dealing with caterers, musicians, and photographers etc.

Sales Taxes

GST (6%) and HRT (8%) - apply. Please note that the GST is refundable to non-Canadian visitors. We will provide you with the required form if requested during registration.

Check-in / Checkout Times

Check-in is at 5:00 pm and checkout is at 10:00 am in High Season, and 11:00 am in Shoulder and Low Seasons. Other arrangements may be made if these times are not convenient for you.

Pet Policy

Pets are allowed at selected properties, so long as you adhere to the following conditions:

  • You can provide evidence of a recent flea treatment
  • You agree to remove animal waste from all areas of the property
  • You agree to keep your pets off of the furniture
  • You agree to use a crate to contain your pet during the night (if your pet is familiar with being placed in a crate)
  • You agree to attend to your pet at all times (i.e. not leaving the pet alone in the house or unsupervised, on or off of the property)
  • You agree to maintain control of your pet at all times and to obey local leash laws
  • You agree that you may be required to provide a larger ($1000.00) damage deposit
